Eyelarp/Feast Your Eyes Photography Policy
January 2024
Photography at Eyelarp and Feast Your Eyes events is provided by our site photography and SFX team Gorgon Photography and a range of guest photographers.
We require all photographers attending events at Eyelarp and Feast Your Eyes games to agree and adhere to the below policies and to facilitate requests by attendees as outlined below.
Failure to adhere to these policies will result in a ban from attending future games as a photographer.
Image Publishing and Usage
Image galleries (whether uploaded to Facebook or another website) must be shared to the relevant game page on Facebook. This is to allow attendees to easily review the images and make takedown requests if required.
Please see the takedown and privacy policy below for further information on how your photos are displayed and how to request they be removed etc.
Photo Takedown Policy
We recognize that some players may not want their photos taken or displayed online. For this reason we operate a takedown policy and right to removal. We require all photographers to agree and adhere to this policy in order to take photos at our events.
At any time, you can request any photos of yourself be removed from social media (the photographer’s, Feast Your Eyes and Eyelarp) and you can request that the photo be permanently deleted. Such a request is irreversible and the photographer is required to remove all copies of the photo from their storage as well as from the public album.
“External” Sources
Please note that photographs that have been purchased or screenshotted, or shared in other ways by anyone other than the photographer, Feast Your Eyes or Eyelarp are not within our control and are excepted from the policies outlined here. However, every effort will be made to contact the individual in possession of these images if someone makes a takedown request and to facilitate the request.
No-Photo Requests
Prior to the game starting, attending photographers will be pointed out during the safety briefing. If an attendee does not want their photo taken at all during the event, they must speak to the photographers and/or game-team directly to request this.
Every effort will be made to avoid including this individual in photos and must be reviewed during the editing process. It is possible that individuals may still be seen in the background of photos. If this is the case, we encourage the attendee to utilize the Photo Takedown Policy outlined above.
Ownership
All photos taken at events are owned by the individual photographers. Use of these images for marketing purposes will only be made when permission has been granted by the owner and the attendees in the photograph.
Film and Video
Typically film/video and audio recording is not permitted at Eyelarp/Feast Your Eyes events. In some circumstances permission may be given to record specific set-pieces but these will be subject to the same policies as photography.
Kit and Conduct
Eyelarp and Feast Your Eyes host immersive, film quality LARP events and so every effort must be made by photographers not detract from this experience.
Kit & Clothing
Photographers should make an effort to ensure their clothing is in-keeping with the event. This can be as easy as wearing a brown robe over their regular clothes and the kit store on site has a large amount of clothing available to borrow.
Camera equipment is an acceptable exclusion to this rule whilst in use. However, whilst not in use, efforts should be made to hide the equipment.
Conduct
Photographers should do their best to blend into the background and ensure that they are never obstructing attendees during the game. Particular care must be taken during combat encounters to ensure the photographer does not interfere with the players.
Interaction between photographers and players should be minimal. However, we appreciate that photographers, crew and players require downtime so it is acceptable for photographers to quietly interact with players in a way that is not distracting, whilst wearing in-character clothing.
Requesting Attendance to Events
Attendance to Eyelarp/Feast Your Eyes events as a photographer is by request only and should be made via the appropriate form (these will be shared on the appropriate social media pages when available). The photographer will need to agree to the above policies, and indicate which events they wish to attend.
If you turn up to an event as a photographer, without prior acceptance by the Eyelarp/Feast Your Eyes team, you will be asked to leave.
If you have requested and been given permission to attend an event as a photographer, you are expected to attend short of any extenuating circumstances. Repeatedly failing to attend events you have been assigned to may result in you not being invited to photograph future events.
