PHOTOGRAPHY AT EYELARP EVENTS

IMAGE PUBLISHING AND USAGE
Images are published primarily at www.gorgonphotography.co.uk
Images may also be published on Instagram @eyelarp or EYELarp’s Facebook groups and twitter feeds. Images may also be used on EYElarp’s promotional materials (posters, flyers etc).
All images are available to players for personal, non-commercial, use with credit given to the photographer. Copyright is retained by the photographer.
Hi-res, non-watermarked images, prints and other items are available for purchase.
TAKEDOWNS AND NO-PHOTO REQUESTS:
We recognise that players may not wish to appear in photos, so we operate a no-quibbles takedown policy.
If you would like an image removed, and we will delete it from our website and any of our use on social media as soon as we are able. Any images which are requested to be taken down will be deleted from photographer’s storage.
Please note that if the image has been screen-grabbed from our website, and published by someone else (ie on Facebook) and you bring it to our attention, we will ask them to also take it down. However, we may be unable to compel them to do so, especially if they have been shared onwards.
If you would like us to not take your photo, please let photographers on site know at the game brief and they will endeavour to not capture any images of you, and will also check through images before publishing. In the event that any do make it onto the website accidentally (for instance in group shots or a background) please email Gorgonphotography@hotmail.com or the relevant photographer for a takedown.
We apologise, but for logistical reasons photographers are not able to provide galleries of images for pre-approval before publishing to the website.
ADDITIONAL PHOTOGRAPHERS
Players are of course permitted to take photos at our events, but we ask you to observe the same takedown and no-photo policy as our main photographers. Please also be aware of your use of mobile phones in game to do so as this can ruin the immersion of others.
Other LARP photographers wishing to document our events are welcome. However, from 2018 we will be implementing a ‘photo-crew’ policy to manage the number and distribution of lenses in game at any time.
This will involve asking additional photographers to work with the EYELarp events team and Gorgon to manage how the event is covered so that players get a good spread of images, captured with minimised impact on immersion and without a lens over every shoulder. This is also in reflection of occasional moments where photographers have been mistaken for NPCs!
This will involve two main types of photography in game:
‘In character’. If you wish to interact with players, we ask photographers to be in appropriate costume and be willing to interact with players as a crew role – including plot-drops and so forth. In this instance, we ask that cameras are period correct or well disguised in a period correct looking cover for the game as much as is practicable. Many of our games are fantasy based where this type of photography isn’t possible due to cameras not being a part of the game world however. Some games may only allow photography in character as part of the plot or setting.
‘OC photographer in kit’. In this case we ask photographers to wear basic kit (fitting with the setting and look of the game) similar to that worn by our refs, and to avoid interaction with players, who will also be briefed to ignore the photographer. As many photographers carry a radio they might be approached by players or crew and asked to contact the game team and supporting participants in this way is extremely useful. Cameras should be used as unobtrusively as possible.
In both cases, photographers will be asked to work with Gorgon Photography and the EYELarp ref team on how and when shots are taken – direction will be light touch and in consultation (unless more specific direction is needed due to the game format), but we will ask you to help us get the best coverage of the event possible. Unfortunately, if we have multiple requests to shoot an event, we need to limit the number of photographers on site. To requests to photograph an event please go to the Gorgon Photography Facebook page where there is a pinned post detailing how to do this. A simple Google form will need to be completed and slots are allocated using a random system which is also detailed on the Gorgon Facebook page. We also ask that EYELarp is given access and permission to use your images for promotional activity, and that you link to EYELarp’s Facebook or website when publishing.
FILM AND VIDEO
We do not allow use of video or audio recording by players during events, due to difficulty in operating a takedown policy and other privacy reasons. We do not allow the use of go-pro or other similar cameras, regardless of how well they are concealed.
On occasion, EYELarp may organise filming at events for our promotional purposes. Such filming will be notified to players before the event and will not include anyone who does not wish to be on camera.
